6.12. Waste Operations and Waste and Discount Reports

A dish prepared wrongly, a dropped drink or an item that cannot be served is a cost to your business. If you mark these losses as waste (Zayi), they show correctly in revenue and in reports. In this lesson you will learn how to mark a whole order or a single item in an order as waste. You will also see which reports show waste and discounts.

Spoiled or spilled ingredients (raw materials) have a separate record. See 5.1.6. Raw Material Waste.

Marking a whole order as waste

If none of the items in the order were sold, mark the whole order as waste.

  1. Open the order and press Actions on the order screen.
  2. Scroll down the panel to the Yönetim (management) section. It has Tarihi değiştir (change date), İşlem kayıtları (activity log) and the red Zayi and İptal (cancel) buttons.
  3. Press the red Zayi button.
  4. An Uyarı (warning) dialog asks "Zayi işlem olarak tanımlamak istediğinize emin misiniz?" (are you sure you want to record this as waste?). If you are sure, press Evet (yes).

Confirming order waste

After you confirm, an empty new order opens on the screen. The wasted order changes as follows:

  • The price of every line in the order becomes 0.
  • Discounts and the service charge on the order are removed.
  • The order does not count in revenue. If the order was already closed, its amount is taken out of the report.
  • The order moves to the Zayi siparişler (wasted orders) list. There, the order's Detaylar (details) button opens a panel with the order contents, the 0,00₺ total and the payment information.
Marking an order as waste is permanent and cannot be undone. The old line prices are not kept. Make sure you are on the right order before you press Zayi.

Marking a single item in an order as waste

Part of the order was sold, but one item could not be served? Then mark only that item as waste.

The Ücretsiz (free), İkram (complimentary) and Zayi buttons only work when items are shown line by line. When items are grouped, these three buttons are greyed out and inactive.

  1. In the order contents, press ⋮ on the item's line. The menu has Not, Miktar, Fiyat, a view button with a layers icon, Ücretsiz, İkram and Zayi.
  2. If items are grouped, the view button's tooltip reads "Ürünleri satır satır göster" (show items line by line). Press it. Items are shown line by line and the three buttons become active.
  3. Press ⋮ on the line to waste again and choose Zayi. There is no confirmation question: the action is applied at once and a "Tamamlandı" (completed) dialog appears.

The wasted line shows as 1 × 0,00₺ with the note Zayi in italics under it. The rest of the order is paid and closed as usual.

You can undo line waste. Press ⋮ on the line and choose Geri Al (undo). The line's old price comes back.

Ücretsiz and İkram work the same way. The line price becomes 0 and the old price is written to the line note, for example "Ücretsiz (90,00₺)" or "İkram (110,00₺)". All three can be undone with Geri Al.

Ücretsiz and İkram replace the existing note on the line. If the kitchen needs a note, write it again afterwards.

The three buttons differ in reports:

  • Zayi lines appear on the Zayi ürün raporları (wasted item reports) page.
  • Ücretsiz and İkram lines appear on Raporlar > Ürünler > Ücretsiz verilen ürün raporları (free item reports). This page also has the Miktar, Satış fiyatı, Maliyet and Kâr cards and the Ürün grupları, Ürünler and Siparişler tables.

These buttons are the fixed notes in the first column of product notes. Product notes are covered in 4.6. Product Notes.

Effect of waste on stock and cost

  • Open order marked as waste: the raw materials of items with a recipe are deducted from stock. A raw material waste record is also created.
  • Closed order marked as waste: the raw materials were already deducted when the order closed, so they are not deducted again. A raw material waste record is created.
  • Items without a recipe cause no stock movement.
  • Line waste does not create a raw material waste record.

The cost of Zayi, Ücretsiz and İkram lines is included in the order's cost. Reports use the item cost at the time of sale. Even if you change the item's cost later, the report keeps the value from the time of sale. Where item cost is entered is covered in 4.2. Adding and Editing Products.

Delete, cancel and waste compared

The İptal button in the Yönetim section of the Actions panel opens a dialog with two options:

  • Orange Sil (delete): "Sadece sipariş verileri silinecek. Sipariş içerisindeki ürünler silinmeyecek ve reçetelerde tanımlanan ham maddeler stoklardan düşecek." (only the order data is deleted; the items in the order are not deleted and the raw materials defined in recipes are deducted from stock).
  • Red İptal (cancel): "Siparişin tamamı, ürünler dahil iptal edilecek ve sipariş hiç alınmamış gibi olacak." (the whole order, items included, is cancelled as if it had never been taken).

The three actions differ as follows:

A wasted order does not count in revenue. It appears in the Zayi siparişler (wasted orders) and Zayi ürün raporları (wasted item reports) pages. You can restore a deleted order from the Silinen siparişler (deleted orders) list.

All three actions are written to the activity logs, where you can see who did what and when.

Following waste in reports

Open Raporlar (reports) from the menu. Waste reports are under Zayi ve silinen siparişler (wasted and deleted orders) and İşlem kayıtları (activity logs).

Wasted and deleted order reports
  • Zayi siparişler (wasted orders): lists orders marked as waste in full. The cards at the top show Sipariş sayısı (order count) and Vergili brüt ciro (gross revenue incl. tax). The wasted order's row shows 0,00 amounts, because waste sets line prices to 0.
  • Zayi ürün raporları (wasted item reports): shows wasted items. The cards show Miktar (quantity), Satış fiyatı (sales price), Maliyet (cost) and Kâr (profit). Below are the Ürün grupları, Ürünler and Siparişler tables. Items from both order waste and line waste appear here. Each row of the Siparişler table shows the order number, date, payment method, item, group, quantity and cost.
  • Silinen siparişler (deleted orders): lists orders deleted with Sil in the İptal dialog. You can restore a deleted order from here.
  • Zayi ham maddeler (raw material waste): shows raw material waste records (5.1.6).

Activity log reports

Raporlar > İşlem kayıtları has two reports:

  • İşlem kayıt raporları (activity log reports): shows the count and amount of deleted items, deleted orders, restored orders, wasted orders and cancelled orders. You can view it grouped or as a line-by-line list.
  • İşlem kaydı detayları (activity log details): shows each action on its own row. Use the Log tipi (log type) filter to see only wasted orders or only cancelled orders. The columns show the time, log type, record type, name, quantity, amount, payment method and the user who performed the action.

The Zayi siparişler list shows a wasted order's amount as 0,00. The activity log reports show the order's amount before it was wasted. To see how much sales value waste cost you, use the activity log reports.

Following discounts in reports

Ritapos has two kinds of discount, and reports show them differently:

  • Order discount (the İndirim button on the order screen): appears in reports as a discount.
  • Line discount (⋮ > Fiyat on the line): lowers the line price. It does not appear in reports as a discount, only as a lower sales amount.

The discount total in reports comes only from order discounts and is shown as a single figure. If you want to track discounts in reports, use order discounts. How to give both kinds is covered in 6.5. Order Actions.

  • In Raporlar > Satışlar > İki tarih arası (sales between two dates), the İndirim card shows the discount amount for the date range you choose (13.1. Sales Reports).
  • Siparişler > İndirimli ve ödemesiz siparişler > İndirim tanımlanan siparişler (orders with a discount) lists discounted orders. Its cards show Toplam sipariş sayısı (total orders), Brüt ciro (gross revenue), Net ciro (net revenue) and İndirim. Orders with only line discounts do not appear in this list.
  • The Çalışan ciroları (employee revenue) report under Personel, masa ve giderler > Siparişin kapanışına göre shows each employee's İndirim amount in its own column. This report has no waste column.
  • To see who gave a discount on an order, press İşlem kayıtları in the order's Actions panel. The order's activity log is listed with Tarih (date), Kullanıcı (user) and Tip (type) columns.

Questions to ask when reading the reports

  • Which items are wasted most often? Should preparation or portion standards be reviewed?
  • Does waste rise on certain days or shifts?
  • Is the discount amount growing relative to revenue? How much discount has each employee given?
