Weekly Shift Plan
Prepare it before the week begins, preferably on Friday evening. A plan made on the morning of the shift cannot prevent late arrivals or an unattended till. Write a name in every role row. A box that says someone will handle it is considered blank.
Post the plan where the team can see it. A schedule kept only by the manager creates a tangle of messages on the shift day. Mark leave and sick days in the box. Record actual changes on the employee attendance sheet as well. The plan records intent; the attendance sheet records what happened.
For a public holiday or match day, update the plan two days beforehand, not on Friday evening. If the old plan remains posted, the till may open unattended. If you name a backup, write it in the notes rather than beside the role. The backup should not look as if they replaced the primary person. When the plan changes, mark that day on the attendance sheet too.
How to use this form
- Write the week's date range and the preparer's name. Without a date, the plan becomes a list with no identifiable week.
- Write a name in every role row. If the role and name are not written together, the till has no owner that day.
- Mark leave and sick days in the box. A blank day means that role was left uncovered.
- Post the plan where the team can see it, and read through it together once during the first shift.
- When something changes, cross out the old name with one line, write the new name beside it, and add initials. Erasing or scribbling prevents the previous entry from being read.
- The authorised person signs it. Record actual hours on the attendance sheet and the plan on this form. Do not make them copies of each other.
How this maps to Ritapos
The Ritapos user list is not a shift plan. The paper says who is working that day; the software says who performed each transaction. Keep the same names in both. A person who appears on the plan but has no account in the system is forced to use a shared account.
A shared server account removes the transaction trail. The plan shows who should sign in with their own account that day. The add user lesson creates the account; this form records the weekly schedule. The attendance sheet records the hours actually worked.
This form is a checklist for training purposes. It does not change your municipal, food registration, or occupational health obligations. Confirm local requirements in writing.
