Hiring Document Checklist
Complete it after the offer is accepted and before the first shift. Letting someone begin service on the promise that documents will arrive next week leaves you exposed. Do not create a user account until critical documents, meaning identity, health or hygiene documentation, and social security registration, are complete.
This list is not an employment contract. It is a checklist of collected documents. It does not replace the contract, social security requirements, or employment law documents. Confirm local requirements in writing. Some items, such as bank details, may be missing on the first day. Record missing items and their deadlines in the notes. Do not assign the employee to a shift until critical items are complete.
If two people start in the same week, open two checklists. Documents mixed on one list can lead to creating a user account for the wrong person. Do not postpone critical documents even for a trial day. If the person leaves after the trial, deactivate them on the same day and write left on the list. An account left active can continue recording transactions after the trial day.
How to use this form
- Write the candidate's name and start date. Without a date, the file does not show which hiring event the list belongs to.
- Mark each row as documents arrive. Do not create a user account while documents are missing.
- Put the original document in the file and a copy in the employee record. Do not keep a phone photo as the only copy.
- Record non-critical missing items and their deadlines in the notes. An overdue item becomes the first line in the next review.
- Create the Ritapos user after the documents are complete. Assign the role for the job. Do not give till permissions to a kitchen account.
- Sign the form and keep it in the employee file. Do not delete a person who leaves; deactivate them.
