Shift Handover Form

Complete this form during a shift change, before the outgoing employee leaves. A verbal statement that everything is complete is not a handover. You can use the same form from lunch to evening and from evening to night. On a single-shift day, this form is not needed; the opening and closing checklists are enough.

If the count is made after the outgoing employee has left, a variance cannot fairly be assigned to that person. Complete the form during the short period when both people are at the counter. Reading out each open table during a busy lunch handover prevents the evening shift from saying, "That table was not mine."

A three-shift day has two handovers: lunch and evening. Each handover needs its own sheet. Do not pass the first handover note verbally into the second one; pass the sheet along. If the kitchen note is long, attach a separate ticket but keep the signatures on this form. If the handover takes more than ten minutes, there may be too many open tables. Recording that count can also inform the next staffing plan.

How to use this form

  1. The outgoing and incoming employees complete the form at the same time. A signature added after one person leaves makes responsibility for any variance unclear.
  2. Count the cash drawer together and record the same figure on both this form and the cash variance form.
  3. Check open tables, open delivery orders, and kitchen notes line by line. A skipped line remains the responsibility of the outgoing shift, not the incoming one.
  4. Record missing cash, faulty equipment, and unresolved complaints in the notes column. Saying it was mentioned does not replace initials, and an unwritten note cannot be recalled reliably later.
  5. Change the signed-in tablet user at the handover. If the incoming shift works through the outgoing employee's account, activity is recorded under the wrong name.
  6. The handover is not complete without both signatures. File the form with that day's records.

Open orders and the cash drawer balance are also visible in Ritapos. The form links that balance on paper to the person who accepted it, while the software holds the amount. Change the tablet user during the handover, or work by the incoming shift will continue under the outgoing employee's account.
