Employee Attendance Sheet

Complete it at the beginning and end of every shift. A sheet filled from memory at the end of the month creates missing days. The paper should speak before the payroll discussion begins. This sheet does not replace an official timesheet. It is a training and operational record. It does not change your payroll or social security obligations.

The arriving employee writes the time, or the authorised person writes it. A blank day is read as if that person did not attend. Mark leave, sick leave, and lateness with an abbreviation. Adding overtime to the notes lets the payroll team read it from the same paper. An erased time is not accepted.

For a shift that passes midnight, write the finish time on the same row, not on the next day. If a 00:30 finish is read as the next day's start, the day is split in two. Add a note that the shift continued into the next day. Put a photo of the medical certificate in the file and leave only S and the date on the sheet. The sheet is not a document folder.

How to use this form

  1. Use the same names as the weekly shift plan. A name on the plan but missing from the sheet makes that week's record appear incomplete.
  2. Write the start and finish times on the same day. At the end of the month, disputed times cannot be recalled reliably.
  3. Write L for leave, S for sick leave, and A for absent. Add the explanation in the notes. A blank box can be read against you.
  4. Record lateness and overtime as times on the same day. Do not open a separate notebook.
  5. The authorised person collects the sheet at the end of the week. The original figure beneath a corrected time must remain legible.
  6. Keep the paper throughout the payroll period. Maintain the official timesheet separately; this form does not replace it.

How this maps to Ritapos

Ritapos employee reports show sales and transactions; they are not timesheets. Comparing the attendance paper with user activity shortens disputes about who worked and when.

An account showing activity while the sheet says the person was absent indicates a shared account or a session that was left open. Conversely, a person listed on the sheet but with no transaction record did not sign in that day. The user lessons cover the account; this sheet covers the day. Placing them side by side at month-end shortens the payroll discussion.

This form is a checklist for training purposes. It does not change your municipal, food registration, or occupational health obligations. Confirm local requirements in writing.
